Golf Courses

Even in prosperous times, golf course superintendents have a lot on their plates. It’s a competitive, complex field. You’ve got turf grass management, pest control, water reduction (perhaps mandated), and an irritating influx of Canada Geese on your mind. Then, there’s maintenance, financial management, customer relations, employee hiring and training, marketing- and in these tough times, cost reduction.

Spending hours every week creating an employee schedule and monitoring attendance is the last thing you want-though a streamlined schedule may be the first thing you need.

Most superintendents agree, scheduling employees for a golf course can be a headache. You’ve got to juggle employees with a wide range of skill sets, varying availabilities, part-time schedules, accrued PTO, time-off and shift swap requests, and your course’s busy times. It’s mind-numbingly tedious work-tracking down staff with the appropriate expertise to accommodate shift swaps or cover for time-off requests, juggling the schedule to find the most efficient use of staff without compromising coverage, and trying to consider alternative schedules without investing too many more hours into the process. Additionally, you may find it necessary to monitor attendance to prevent punch-in abuses or unnecessary overtime.

Once the schedule is done, you’ve still got work to do: communicate the schedule to all the employees, field endless inquiries about next week’s schedule (or worse, scrambling to fill a missed shift due to confusion over schedules), and occasionally you’ll do the entire thing over again to accommodate an unexpected shift swap, illness, or time off request, and then communicate the changes to all the employees-again!

It’s tedious, but it’s important. Under-schedule and you could lose golfers. Over-schedule and you could lose profits.

Luckily, there are tools that can help streamline this time-sink. TimeForge can cut your employee scheduling time from hours to minutes. Really!

TimeForge won’t just save you time, TimeForge can save you money in a myriad of ways. For example, you can quickly determine the periods or times that your cart barn is overstaffed and easily schedule to more closely align with your actual needs, cutting labor costs. You can schedule your most experienced employees during your busiest periods to reduce complaints and backlogs without over-staffing. You can keep an eye on attendance (on-site or remotely) in order to curb time clock abuse and reduce overtime.   You can monitor labor costs in real-time, and forecast your future costs and staff requirements. It all adds up:   TimeForge can increase course profits by 3-5%.

With TimeForge, you can:

  • Create employee schedules in minutes-even with multiple locations, employees with varying availability, certification, and skill sets.
  • Export payroll to many popular payroll providers with a single click.
  • Inform employees of schedules or schedule changes by text message or email-eliminating employee confusion and missed shifts.
  • Approve shift swaps, review employee requests for time off, review important daily occurrences, and monitor employees on the clock either on site or remotely, through the TimeForge website, a Smartphone (such as a Blackberry or iPhone), and even through a Facebook account.
  • Stop employees from clocking in before the shift starts or after the shift ends or punching in friends to help reduce labor costs.
  • Record important information from one manager’s shift to another.
  • Provide remote access for employees to view work schedules, review timecards, request time off, change work availability, swap shifts with other staff members, and receive daily schedule alerts via email or text messages.
  • Manage and forecast labor costs to decrease costs and increase profits.

Child Care and Day Care Centers

Staffing costs are usually the largest expenses associated with running a childcare center. It   makes good financial sense that a daycare center director needs to have a solid grasp on how the staff is scheduled, yet employee scheduling often gets short shrift.

It’s easy to see why scheduling gets the back seat. Employee scheduling can be tedious and time-consuming. You have to juggle your employees’ specific availabilities, skill levels, accrued PTO, time off or shift swap requests, meal breaks, shift overlaps to relay information, planning or training breaks, and your busiest times. Then, you have to communicate the schedule to all of your employees, redo it in the event of an unexpected illness or time-off request, find someone to fill in for the absent employee, and communicate the changes to all the employees again! Who has time to also monitor attendance,   forecast labor costs (or keep an eye on them in real time) and do “what-if” scheduling calculations?

With TimeForge, you have time.

TimeForge can cut the time spent doing routine but tedious tasks, like building a staffing schedule or monitoring attendance from hours to minutes. Literally.

TimeForge gives you the tools you need to painlessly do the vitally important tasks like fine-tuning your schedule and forecasting labor costs.

With TimeForge, you can:

  • Build efficient employee schedules for one or more locations – in just minutes.
  • Export payroll to many popular payroll providers with a single click.
  • Notify employees of schedules or schedule changes by text message or email; eliminating employee confusion and missed shifts and reducing turnover.
  • Record staff member availability, employee time-off requests, and other key information.
  • Stop early clock ins and late clock outs or buddy punching to provide immediate labor cost controls.
  • Remotely check on employees that are clocked in-using the web, Facebook, or a cell phone.
  • Provide remote 24/7 access for employees to view work schedules, review timecards, request time off, change work availability, swap shifts with other staff members, and receive daily schedule alerts via email or text messages.

Your staff will love TimeForge. No more missed shifts or staying late to cover for a tardy or missing co-worker. No more scheduling confusion or trying to arrange a shift swap while on duty.

During tough times, center directors need to do even more than avoid turnover and manage day-to-day activities quickly and efficiently. In addition to saving hours on scheduling and attendance monitoring, TimeForge can cut your costs by:

  • Scheduling your most experienced employees during your busiest times.
  • Getting notifications of potential labor shortages automatically.
  • Monitoring your labor costs-in real time.
  • Taking advantage of nearly 3 dozen different reports to keep an eye on labor costs and scheduling trends.
  • Using your existing staff more efficiently in order to avoid layoffs or unnecessary hiring.
  • Trying out various “what-if” scenarios to visualize staffing or schedule changes-without losing your original schedule.

In fact, TimeForge can help you increase day care center profits by 3-5%.

TimeForge is a complete labor management solution for childcare centers, providing one-click seamless access to employee scheduling, time and attendance, and payroll reports. You can choose to use the whole TimeForge product suite, or only the parts that your care business requires.

Labor Management for Churches and Religious Institutions

Most religious institutions operate with awkward schedules. Rarely are your staff and volunteers only available from 9-5. That’s one of the reasons scheduling for a religious institution can be so complicated. Not only do you need to juggle staff and volunteers, but each member of your labor force also has his or her own skill set, availability, and preferences. You need to coordinate all of your volunteers and staff (most of which are probably part-time) to cover multiple events on different days of the week at different times. Somehow throwing together a streamlined and   optimized labor schedule just doesn’t always seem to work out. However, an error-free, easy-to-communicate schedule is vital to any religious institution that wants to keep staff on hand.

Maintaining your staff’s satisfaction during a difficult economy can be extremely hard, and failures in communication can be the difference between having volunteers and not having volunteers.   The most common complaint volunteers have, besides lack of appreciation, is arriving to volunteer only to find that there is nothing prepared for them to do.

Scheduling inefficiencies can also lead to minor but upsetting problems, like a rehearsal with no sound operator, youth programs without enough leaders because of schedule confusion, or study groups arriving to find doors locked. These events frustrate members, volunteers, and staff alike, and are completely avoidable and unnecessary. However, scheduling efficiently can be such a hassle. Well, TimeForge can reduce your scheduling from hours to minutes, and make the entire process pain-free without compromising efficiency.

TimeForge is easy to use. You won’t be left high and dry (and unable to schedule) if the tech-savvy volunteer moves away.

TimeForge is adaptable. When a staff member takes time off or a volunteer is ill or wants to take a break, you can easily redo the schedule and find people to fill in. If two people work spectacularly well together (or are best kept separate) you can easily do that, too.

Our software enables you to optimize the process without losing the human touch. It helps you track vacations, shift swap requests, and preferences so that you create schedules (in seconds) that make everyone happy. You can even test “what-if” scenarios to see how different staff and volunteer combinations work, without losing your original schedule.

With TimeForge, your staff/volunteers are automatically notified about the schedule through email, text message, or social networking account (like Facebook). TimeForge enables staff and volunteers to access their very own TimeForge account 24/7 securely from their home (or anywhere with internet or cell phone access) to view their schedule, review their attendance, request time off, change their work availability, swap shifts with other staff members or volunteers, and change their notification preferences. For example, TimeForge can send them daily schedule alerts via email or text message.

TimeForge can save you hours of tedious, complicated schedule building every week-time that can be used to further your organization’s mission. If you are still not convinced, read what some TimeForge users are saying, or sign up for a free 10-day trial today to discover for yourself how much easier building schedules can be.

Labor Management for Golf Courses

In a tough economy, a superintendent has even more paperwork than usual, with less time to complete everyday tasks (much less focus on implementing new policies). It’s a complex and competitive field. You need to oversee the turf management, water reduction, pest control, and an irritating influx of Canada Geese. Then, you concern yourself with maintenance, management of finances, relations with customers, hiring and training employees, marketing your course, and balancing maximum cost reduction without reducing quality.

You simply don’t have any time to spare! Though you need several extra hours every week for building and modifying the employee schedule and monitoring attendance, spending unnecessary time in the office is the last thing you want! However, an efficient schedule may be the first thing you need.

Scheduling employees for a golf course can be a headache. After juggling several employees with a wide range of skill sets, varying availabilities, part-time schedules, accrued PTO’s, and your course’s busy times, just to hash out a moderately coherent employee schedule, you have to find staff with suitable skill levels to accommodate shift swaps or cover for time-off requests, reorganize the schedule to find the best use of staff (without compromising coverage), and test out variations of the schedule without wasting any more time. After finally developing an efficient schedule, you’ll need to monitor attendance to prevent time clock abuses.

When the schedule is completed, you need to notify all the employees, deal with questions about the next week’s schedule (or worse, try to fill a missed shift), and sometimes you’ll need to redo the entire process because of an unexpected shift swap, sick day, or time off request.

It can be such a pain, but it’s excruciatingly vital to your course’s success. If you under-schedule, you’ll lose golfers to poor service experiences. If you over-schedule, you’ll lose profits to overspending on staff.

With recent advances in technology, there are tools that can help streamline this time drain. TimeForge can cut your employee scheduling time from hours to just minutes. Really!

In many ways, other than saving you time spent managing, TimeForge can save you money. Using TimeForge’s AutoSchedulerTM, you can have an entire employee schedule at the click of your computer mouse. The employee schedule generated by the AutoSchedulerTM is automatically optimized for maximum profit and efficiency. With TimeForge’s other features, you can determine the shifts that your cart barn is overstaffed and easily adjust schedules, instantly cutting labor costs. Important Notes Feature

Occasionally, there are matters that need to be addressed with your staff (managers or general employees) to keep your operation running smoothly. Businesses in the restaurant, retail, and hospitality industries frequently struggle with relatively negligible problems like minor tardiness and uniform issues. Company guidelines and requirements can be neglected by busy employees and even busier managers. To assist in addressing these labor management issues, TimeForge has made a recent update to our Daily Log product, called Important Notes.

You can upload files such as restaurant menus or notices about upcoming training events directly to the Daily Log and categorize these messages and files as “Important Notes”. Important Notes will always show up at the top of the page for managers and staff, so you’ll never have to search through the daily logs to find what you’re looking for. When the Important Notes you’ve delegated are no longer pertinent, you can simply delete those notes in order to make room for more timely news.

Important Notes also enables you to broadcast memos to managers, staff, or both, with alerts sent directly to a staff member’s e-mail, mobile phone, or Facebook. This recent (totally free) update to TimeForge also provides a way for staff to forgo the painful staff meetings (which are frequently low in attendance anyway) in favor of contacting staff and management electronically, saving you time and headaches.

Want access to the Important Notes feature? If you’re already a TimeForge customer, you automatically have access at no extra cost! If you have not yet tried TimeForge, sign up for a free trial today!

Managing Breaks and Meal Periods Is Simple

In many states, employees receive paid or unpaid break periods and meal periods according to the law. The TimeForge Breaks Module allows management to enter rules which manage employee breaks and meal periods, letting you easily control and track breaks for on-duty or scheduled employees. After enabling the Breaks Module, you’ll be ready to customize your break and meal period options so they are tailored to best suit your company’s needs.

Scheduling Breaks:

You can add your state, federal, or company mandated “Break Rules” or “Meal Period Rules” and delegate whether the break is paid or unpaid, optional or required.

After adding the necessary breaks, TimeForge can automatically place employees on the schedule and will stagger the breaks to keep employees from all taking the breaks at the same time.   Alternatively, managers can specify each break individually.

When using TimeForge Breaks in conjunction with TimeForge Scheduling, you can:

  • Specify breaks based on hours worked, position, or duration of work scheduled
  • AutoScheduler™ can quickly stagger breaks for each scheduled shift
  • Schedule and manage both paid and unpaid, and optional and required breaks
  • Print break reports and worksheets to track employee signatures

Taking Breaks:

Employees can begin or end their breaks with the click of a button.   You can set options to allow employees to take breaks based on the scheduled break settings, specify all breaks as a certain type, or staff can select what kind of break they will be taking (paid, unpaid, optional, required).   If preferred, you can print out the break worksheet and capture employee signatures for any waived or new breaks.

By using TimeForge Breaks in conjunction with TimeForge Attendance, management can:

  • Track employee breaks (paid, unpaid, optional, required) for labor reporting
  • Automatically take breaks based on the schedule if staff forget to break in or out
  • Simple one-click conversion of unpaid breaks to paid breaks (and vice versa) in the “Edit Attendance” module
  • Real time web and mobile view of labor and tracking of which staff members are on break
  • Alerting and Reporting with TimeForge automatically staggers employees breaks when you add them to the schedule, so your business is always covered by capable staff.

Because the reality (attendance) is often different from the scheduled breaks, you can also see a display of employee breaks based on the employee’s scheduled hours with our Break Report, and track breaks that employees have taken, or should take, based on the employee’s scheduled work hours with our printed Break Worksheet Report. Our detailed and comprehensive reports make it simple and organized to view employee habits and work histories.

You can opt to be alerted via text, e-mail, or TimeForge message if staff members do not take their scheduled breaks after a certain number of minutes. For example, if you set the alert to notify you after 15 minutes of a missed break and an employee was scheduled to take a break at 1:00 pm, but has not taken a break at 1:15 pm, you’ll receive a notification via e-mail or text message directly to your phone or computer.

TimeForge is a best-of-breed employee management system, and our online application of the program allows for constant software updates and improvements live to your system. With TimeForge’s innovative online management software, you are always at the top of your game. TimeForge completes tasks like managing breaks in a matter of minutes – saving your company valuable capital.

TimeForge’s do-it-all program makes the headache of managing employee breaks a thing of the past. Sign up for a free trial today!

Part Two: Recruiting and Retaining Gen Y Employees

According to the National Retail Federation, turnover within the restaurant, retail and hospitality industry has been approximately 60%-200% over the past five years. Low pay and young staff members are major contributors to the problem, but what can businesses do to improve their turnover and, thereby, their labor costs? Employers should improve their recruiting strategies and their ability to retain employees. TimeForge’s labor management products can assist with strategies to hook the enthusiastic and hard-working Gen Y-ers, in addition to keeping them happy, informed, and fulfilled by their work.

Using college and high school campuses to recruit talent is an excellent way to reach Gen Y-ers in their element. Individuals who are part of Generation Y are especially peer-influenced, so recruiters should be close to their age, and advertisements should appeal to their interests. It’s important to highlight your businesses philanthropy and responsibility during recruiting, because, as we mentioned in Part One, Gen Y-ers are especially concerned about the environment, social justice and various conservation and humanitarian issues. It’s important to contribute toward (and emphasize to prospective employees and the community) the kind of charities that hit home with Generation Y.

An understanding of Generation Y’s appreciation and attachment to technology will help you better recruit and manage members of this demographic. The online and interactive labor management TimeForge provides is easy to use and appealing to Gen-Yers, who have grown up comfortable with computers. In addition to the appeal of online schedule viewing, shift-swapping, training/certification reminders and more, when it comes to applying for jobs, Generation Y prefers to submit their resume/application online. TimeForge’s applicant tracking systems make it easy to compile and store online applications with our applicant tracking systems, which will have you onboarding the most qualified applicants with minimal time and effort.

The amount of retailers accepting online applications has increased exponentially within the past 5-10 years, so if your business isn’t offering a digital application process, it’s likely that you’re losing out on potential job candidates. In a 2007 pilot program, McDonald’s installed computer kiosks to accept employee applications in 40 of its restaurants. The number of applicants at those restaurants jumped by as much as 100 percent. At one McDonald’s in College Station, Texas, the employee turnover rate also was reduced by more than 20 percent, according to an article by Andrew Tilin. By using TimeForge, your business could enjoy similar turnover reduction and employee retention.

Gen Y-ers appreciate the ability to apply quickly, easily, and impersonally while in casual clothes. Offering online application and resume submission also eliminates a great deal of the necessary paperwork that comes with accepting applications and hiring new employees, which not only makes things simpler for management and corporate (where applicable) but it’s a start towards Generation-Y-luring “Green” initiatives. TimeForge can drastically reduce the need for paperwork with our online products that feature document/certification uploading and storage, employee on-boarding, and employee management to assist in a transition to a more “Green” company.

It’s also important to recognize that more Gen Y-ers have goals of opening their own businesses one day, than in previous generations. Learning what they need to know in order to accomplish this is another intangible benefit your business can offer to Generation Y (and other) staff members, and TimeForge’s labor management system is a great way for inexperienced individuals to gain experience and understanding of what managing people is like. In order to find future entrepreneurs, recruit and advertise near hospitality-geared high school classes and university colleges (ex: Texas Tech’s Restaurant, Hotel and Institutional Management college,) and give your Generation Y employees as much room for education and higher placement as possible, in order to allow for growth and continued interest.

TimeForge can help your business better appeal to Generation Y, which can help increase your number of applicants, reduce your turnover, and allow you to better manage your entire labor staff, regardless of generation.
