Previous versions of TimeForge sorted the list of daily and weekly schedule templates in the order that they were created. For example, the first template that is created would be listed first in the list of templates. But now, templates are now easier to locate, because they are now sorted alphabetically.

Improved Time Selector – Upgraded in TimeForge

TimeForge is proud to release our new “time selector” to all TimeForge users.

The new time selector speeds up data entry for start / end times, and reduces the number of mistakes made by users. To use the time selector, pick a start time anywhere you would enter time. The end time will automatically adjust to 30 minute increments starting after your start time, and it will show you the duration of the shift.

For example, if you enter 11:00am to begin a morning shift, the time selector will automatically display 11:30am (30 minutes) as the end time. You can scroll to enter a different time – for example, 2:30pm (3 hours), or you can enter a different time, such as 3:18pm. You will instantly know how long the shift is, or how many hours an employee has taken off from work!

Approve or Deny Employee Requests in Bulk – New in TimeForge

Managers and supervisors can approve or deny employee requests for time off, or changes to availability, in bulk from the “Today” screen in TimeForge. To approve or deny these availability requests, users can easily click the “Approve” or “Deny” for each request, and then click on the “Process” button at the bottom of the list of requests.

All employees will receive email notifications of the Approval or Denial, and employees can always check the status of their availability requests by logging into their own account on TimeForge.com

Time and Attendance – Improved in TimeForge

TimeForge contains a very powerful and flexible Time and Attendance Module that can be used to track when employees are actually working at your business. The Time and Attendance Module is designed to ease payroll preparation for restaurants, cafes, catering companies, retail businesses … your business!

Using the Time and Attendance Module is extremely simple, requiring that employees simply click “Clock In” and “Clock Out” to clock-in and out of the TimeForge system. Some of the functionalities of the TimeForge Time and Attendance Module include:

No shows and call-ins – New in TimeForge

What happens when an employee does not show up for a scheduled shift? Or, perhaps the employee does call in and is sick or otherwise unavailable to work. You need to find a replacement, fast! Introducing the TimeForge Replacement Module!

The TimeForge Replacement Module allows TimeForge users to find a replacement for an employee who is scheduled for Today, but will not (or did not) show up for their shift. From one screen, a TimeForge user can see which employees are available to replace any user who is scheduled.

To use the new TimeForge Replacement Module to replace an employee:

  1. Login to TimeForge.com and go to the “Today” screen. A chart will appear, displaying employees who are scheduled to work today.
  2. Click on the employee who will be replaced, and a pop-up will appear.
  3. Choose the replacement employee from the drop-down of available employees, and then choose a reason for replacement, either “No Show” or “Call In”.
  4. The new employee is immediately replaced on the schedule!

Age Rules (Minors and Senior Citizens) – New in TimeForge

Scheduling minors and senior citizens couldn’t be easier! In many locations, your staff members who are under a legal age (minors) must be scheduled according to specific legal regulations. Commonly, these labor rules require minors to work on specific days (for example, only on Thursday, Friday, and Saturday), fewer than 1 shift per day (no doubles), or less than a certain number of hours per week.

TimeForge makes compliance with these corporate, local, state, and national regulations easy! You and your Human Resources department can easy build age-specific rules, specifying when employees can, or cannot, work.

Some of the rules that can be specified include:

  • Minimum or maximum scheduled hours per week, such as “Maximum of 40 hours per week”
  • Minimum or maximum scheduled shifts per week, such as “No fewer than 2 shifts per week”
  • Minimum or maximum scheduled shifts per day, such as “No doubles”

Additionally, age rules include availability requests that can be specified on a calendar, just like TimeForge employee requests!

To access the Age Rules, login to TimeForge, and then choose the “Employees” tab, and then click on “Age Rules”.

Hot Tip: Age Rules can be used to define corporate-wide standards for scheduling employees. For example, you can define age rules for minors you employee, another age rule for employees aged 18 – 65, and a final age rule for senior citizens.

Hot Tip Two: Within TimeForge, you can have as many age rules as you would like. For example, the rules for scheduling minors who are 14 – 15 may be different than the rules for scheduling 16 – 17 year old minors. In this case, TimeForge will allow you to define two separate groups of age rules to schedule your employees. You can have as many groups as you would like!

International Restaurant Show

Some of the TimeForge staff will be at the upcoming International Restaurant Show in Las Vegas, Nevada. This hospitality trade show is co-located with three other large events, including:

The trade show starts February 24, 2008 and wraps up on February 27, 2008 with more than 300 exhibiting companies in attendance. Companies serving the hospitality and food-service industries will be in attendance.

So who should attend? Independent and chain managers, owners, and operators of restaurants, hotels, casinos, resorts, and nightclubs.
