How Do I Configure TimeForge with QuickBooks?

TimeForge can integrate with many different software programs, including accounting systems such as QuickBooks. QuickBooks is one of the most popular accounting systems in the world, and is used by small, medium, and large businesses around the globe.

TimeForge integration with QuickBooks involves installing the TimeForge Accounting Bridge software on one of the computer systems running QuickBooks. If you are using QuickBooks Enterprise, you can install the software on the QuickBooks Enterprise server.

The TimeForge Accounting software will read approved time sheets from TimeForge, and then import time cards and weekly time sheets into QuickBooks. With the time sheets inside of QuickBooks, you can pay your employees using QuickBooks Payroll – either by cutting your staff a check, or using Intuit Online Payroll.

Ensure the Software is Configured Properly

If the TimeForge Accounting Bridge was not properly configured to use a Web Service account, you will first need to configure the Web Services.

If the TimeForge Accounting Bridge has not yet been fully configured, make sure to set up the Web Service Username and Password.

These values can be configured on the TimeForge web site, and will allow the software to communicate with TimeForge securely.

Set Up the Translator

Review the TimeForge Accounting Bridge dashboard.

1. Click on this link to set up the type of QuickBooks payroll that is imported. TimeForge will import all payroll hours (time sheets) as a single type of pay, for example, as “Regular Pay” or “Hourly Rate”. If you would like to split the time into multiple payroll types, this will need to be done inside of QuickBooks.

2. If a QuickBooks file is currently open, the company file will be displayed. In this example, no QuickBooks company file is open.

3. A status message about QuickBooks will be displayed. In this example, QuickBooks does not appear to be running.

You are all done! You can start using TimeForge and QuickBooks to process your payroll.

A web service username and password is not the same as your TimeForge username (usually your email address), but is a secured username and password that allows the TimeForge Dinerware Bridge to communicate with TimeForge.

You can create a Web Service account by logging into your account, and go to the Settings for your location / store. You can then set your web service username and password.

2. If you do not yet have a TimeForge account, get started by creating a TimeForge account. We will create a Web Service Username and Password for you automatically.

How Do I Configure TimeForge with Micros Point of Sale?

TimeForge can integrate with several Point of Sale systems, including Micros RES 4. RES 4 is the point of sale system supplied with many of the Micros 3700 hardware, and is a very popular POS system.

TimeForge integration with Micros involves installing the TimeForge Micros Bridge software on the computer system hosting the Sybase database that powers Micros RES 4.

The TimeForge Micros software will read and write to your Micros system as necessary, and can enforce your TimeForge schedules – preventing employees from riding the clock, clocking in early or clocking out late. Additionally, you can forecast sales and inventory needs using TimeForge and your Micros sales data.

Ensure the Software is Configured Properly

If the TimeForge Micros Bridge was not properly configured to use a Web Service account, you will first need to configure the Web Services.

Configure the Micros POS Integration

Configure the Dinerware POS side of the TimeForge Micros Bridge. Some of the important values on this screen include:

1. Micros RES 4 Server settings, including the Database Name, Username and Password.

2. Choose how often the software should poll or synchronize with the Micros POS system.

Set Up the Translator

Review the TimeForge Micros Bridge dashboard.

1. The Last Successful Sync Date shows the last date and time that the software was able to read from your Micros database.

2. The Last Synchronization shows the last date and time that a synchronization was attempted.

3. The Status shows the status of the last synchronization (it will either be SUCCESSFUL or FAILED).

4. The Next Synchronization shows the date and time of the next scheduled synchronization.

You are all done. TimeForge will synchronize your data based on the needs of your restaurant, and will keep the data in TimeForge and in Micros POS communicating properly.

How Do I Install TimeForge with Micros Point of Sale?

Configure Micros Connection Settings

Set up the Micros database connection settings. You will need to configure your Micros database (by default, this is named micros), and you will also need to configure a username and password to connect to the database.

Please note: The username and password must have read and write access to your Sybase database.

If your database connection parameters are incorrect, TimeForge will let you know.

At this point, go ahead and run the TimeForge Bridge software.

How Do I Exit Time Clock Mode?

TimeForge Attendance makes time & attendance tracking easy for your business. Employees clock-in or clock-out for work similar to what is done with a traditional time clock. However, with TimeForge Attendance, reports are automated, employees can see what’s going on, and payroll is one click away.

In addition to clocking in and out, TimeClock includes Time Clock Mode. With Time Clock Mode, staff members can point and click on their name, allowing them to quickly clock in and out of the TimeForge system.

Choose Your Name from the List of Staff Members

Choose your name from the list of staff members. Only TimeForge managers are able to exit Time Clock Mode.

Enter Your Password

Enter your password, and then click on Exit TimeClock Mode.

How Do I Start Time Clock Mode?

Using TimeForge Attendance will make time and attendance management easy at your business. Employees can clock-in or clock-out, in a manner similar to a time clock. In addition to standard clocking in and out, TimeClock includes a Time Clock Mode, a proprietary TimeForge Attendance feature.

With Time Clock Mode, employees can point and click on their name, allowing them to quickly clock in and out of the TimeForge system.

Navigate to the Attendance Tab, and Choose the TimeClock Mode

Click on TimeClock Mode to enter the time clock mode, allowing employees to clock in and out by choosing their name from a list of staff members.

Acknowledge the Warning

Only a manager can request that a computer enter TimeClock Mode, and while in TimeClock Mode, that computer cannot access any other part of TimeForge.

Staff members can clock in and out by simply clicking on their name in the list of employees. To reduce buddy punching and employee fraud, you can require that employees enter their password before they successfully clock in or out.

Additionally, in Time Clock Mode, TimeForge can also enforce the labor schedule – making sure that employees clock in and out at the correct time.

How Do I Require Passwords in Time Clock Mode?

Using TimeForge Attendance will make time & attendance tracking easy for your business. Using TimeForge Attendance, employees clock-in or clock-out for work very similar to what is done with a traditional time clock. However, with TimeForge Attendance, reports are automated, employees can see what’s going on, and payroll is one click away.

In TimeClock Mode, passwords can be required to ensure that staff members are not buddy punching – clocking each other in without actually being at work.

How Do I Change the Fingerprint Scan for an Employee?

TimeForge Attendance allows employees to log into TimeForge using a biometric fingerprint scanner. These scanners are both faster and more secure than the standard username and password combination, and using the fingerprint scanner can eliminate buddy punching entirely.

Occasionally, an employee will need to change the fingerprint data that is on record – perhaps due to an accident, skin irritation, or some other reason. Follow these steps to easily change the employee’s fingerprint scan.

Register Employee Fingerprints

Navigate to the Employee List (in the Employees tab), and choose an employee to edit.

Scroll down toward the bottom of the staff member’s account, and you will see a “Register fingerprint data” button. Click on this button to begin registering this employee’s fingerprint.

Place the Employee’s Finger on the Scanner

Have the staff member place their finger (usually the middle finger, or ring finger is best) properly on the fingerprint scanner.

The light will flash momentarily, to show a successful fingerprint scan.

Rescan the Staff Finger if Necessary

In the case of a poor scan, you may be prompted to have the employee scan their finger again.

Once a successful fingerprint scan is complete, the employee’s page will refresh, and you will see a screen similar to the above, indicating success for the fingerprint scan.

How Do I Use the TimeForge Fingerprint Scanner?

Using TimeForge Attendance, employees can clock in and out of the software using their username (most commonly an email address) and password.

TimeForge also offers fingerprint scanning as a more secure and faster method for employees to clock in and out.

TimeForge has partnered with M2SYS to provide fingerprint scanning – delivering fast employee identification and eliminating buddy punching while reducing payroll costs.

Setting up the TimeForge Fingerprint Scanner is simple, easy, and pain-free!

Enable the Fingerprint Scanner in the Location Settings

Before you can use your fingerprint scanner, you must first tell TimeForge that you will be using the M2SYS fingerprint scanner.

Sign into TimeForge, and go to the Location Settings (under the Setup tab). Change the above setting from “No” to “Yes“.

TimeForge will now show you additional options inside of each employee’s account.

Register Employee Fingerprints

Navigate to the Employee List (in the Employees tab), and choose an employee to edit.

Require that Staff Members Use the Fingerprint Scanner

After all employees have had their fingerprints entered into the TimeForge system, you can require that clocking in at your location must take place from a specific IP address (your location’s address), and that staff members must use the Fingerprint scanner when clocking in or out.

How Do I Use TimeForge Attendance with Dinerware POS?

TimeForge integrates and is able to communicate with several Point of Sale systems to reduce the amount of data entry that you need to perform while managing your labor. One POS system that TimeForge integrates with is Dinerware. Dinerware is a focused and easy-to-use Point of Sale system, with dealers all over the world.

To integrate TimeForge with Dinerware POS, you first need to install the TimeForge Dinerware Bridge software on the Brain computer system.

The TimeForge Dinerware Bridge software will read and write to your Dinerware system as necessary, and can enforce your TimeForge schedules – preventing employees from riding the clock.

In some cases, you may want to use TimeForge Attendance exclusively as a way to track time and attendance at your business. To do this, you can turn off the synchronization of time punch entries from the POS system, and can use the full power of the TimeForge Attendance system, including our fingerprint scanner (to stop buddy punching), and our comprehensive meal and staff break system.

Make Sure that the Connector and Translator are Both Running

Check the Windows task bar, which is the bar that normally runs along the bottom of the computer and contains the Start menu (on the left) and clock (on the right).

You should see icons similar to those shown above. Both of these icons should be displayed, and if they are, then the TimeForge Dinerware Bridge is working properly.

Disable the Dinerware Time Punch Synchronization

1. In the TimeForge Translator, make sure that the “Allow clock in and clock out, regardless of schedule settings” is selected. This will allow your users to clock in and out of Dinerware as necessary – which is important for choosing cash drawers and meal coursing, as well as check printing.

2. In the TimeForge Translator, make sure that the “Use Dinerware Time Punches for TimeForge Attendance” is NOT selected. This option turns off the synchronization of the Dinerware time punches, and instead allows you to use TimeForge Attendance for tracking time.

Synchronize the TimeForge Connector

To be able to use the software immediately, you will need to force the software to synchronize itself.

You can do this by right-clicking on the Connector, and choosing “Synchronize Now

Require Employees to Clock In and Clock Out at Work

TimeForge Attendance is very flexible, and could allow your employees to clock in from their cell phones, facebook, or any Internet-enabled computer. However, most businesses will prefer to have staff clock in from restricted computers – such as those provided at their work location.

1. Lock down attendance tracking by limiting clock-in’s and clock-out’s to specific IP’s. To do so, simply click on the button displayed above.

Allow Employees to Clock In and Clock Out

Employees can now log into TimeForge using their username (usually their email address) and password. Alternatively, if the location is using a compatible fingerprint scanner, staff members can use their fingerprints to log in to TimeForge.

After logging in, they will see a clock in / clock out box on the right-hand side of their screen.

Clocking in and out is now point and click easy!
