TimeForge can integrate with many different software programs, including accounting systems such as QuickBooks. QuickBooks is one of the most popular accounting systems in the world, and is used by small, medium, and large businesses around the globe.

TimeForge integration with QuickBooks involves installing the TimeForge Accounting Bridge software on one of the computer systems running QuickBooks. If you are using QuickBooks Enterprise, you can install the software on the QuickBooks Enterprise server.

The TimeForge Accounting software will read approved time sheets from TimeForge, and then import time cards and weekly time sheets into QuickBooks. With the time sheets inside of QuickBooks, you can pay your employees using QuickBooks Payroll - either by cutting your staff a check, or using Intuit Online Payroll.

Install the TimeForge Accounting Bridge software

Enter Your Web Service Username and Password

1. If you already have a TimeForge account, enter your Web Service Username and Password to connect with TimeForge.

A web service username and password is not the same as your TimeForge username (usually your email address), but is a secured username and password that allows the TimeForge Dinerware Bridge to communicate with TimeForge.

You can create a Web Service account by logging into your account, and go to the Settings for your location / store. You can then set your web service username and password.

2. If you do not yet have a TimeForge account, get started by creating a TimeForge account. We will create a Web Service Username and Password for you automatically.

TimeForge can integrate with several Point of Sale systems, including Micros RES 4. RES 4 is the point of sale system supplied with many of the Micros 3700 hardware, and is a very popular POS system.

TimeForge integration with Micros involves installing the TimeForge Micros Bridge software on the computer system hosting the Sybase database that powers Micros RES 4.

The TimeForge Micros software will read and write to your Micros system as necessary, and can enforce your TimeForge schedules - preventing employees from riding the clock, clocking in early or clocking out late. Additionally, you can forecast sales and inventory needs using TimeForge and your Micros sales data.

Ensure the Software is Configured Properly

If the TimeForge Micros Bridge was not properly configured to use a Web Service account, you will first need to configure the Web Services.

These values can be configured on the TimeForge web site, and will allow the software to communicate with TimeForge securely.

Configure the Dinerware POS side of the TimeForge Micros Bridge. Some of the important values on this screen include:

1. Micros RES 4 Server settings, including the Database Name, Username and Password.

2. Choose how often the software should poll or synchronize with the Micros POS system.

Review the TimeForge Micros Bridge dashboard.

1. The Last Successful Sync Date shows the last date and time that the software was able to read from your Micros database.

2. The Last Synchronization shows the last date and time that a synchronization was attempted.

3. The Status shows the status of the last synchronization (it will either be SUCCESSFUL or FAILED).

4. The Next Synchronization shows the date and time of the next scheduled synchronization.

You are all done. TimeForge will synchronize your data based on the needs of your restaurant, and will keep the data in TimeForge and in Micros POS communicating properly.

Please note: The username and password must have read and write access to your Sybase database.

TimeForge Schedule Templates can be used to easily and quickly build labor schedules.  Use schedule templates and weekly templates together to identify upcoming labor requirements and plan your staffing needs.

TimeForge integration with Aloha involves installing the TimeForge Aloha Bridge software on a computer system with access to the Aloha installation directory.

The software will read and write to your Aloha system as necessary, and can keep employees, positions / job codes, sales, and time punches synchronized between the two systems.

Additionally, you can use the TimeForge Fingerprint scanner with Aloha POS to allow biometric clock-in’s and clock-out’s.

Configure the Aloha POS side of the TimeForge Aloha Bridge. Some of the important values on this screen include:

1. The path to the Aloha grind files, which is normally C:\Aloha or C:\AlohaQS (for quick service or QSR restaurants).

2. Choose how many previous days TimeForge should consider for labor adjustments. This ensures that TimeForge scans old time punch / time card entries to identify manager edits to time punches.

3. By default, TimeForge users the time punch values from Aloha. However, if you would like to circumvent the Aloha time punches (time cards), and would prefer to use the TimeForge Attendance system and optional biometrics, then please un-check this option.

2. Indicate how many previous / prior days TimeForge should check for labor adjustments. Changes made prior to this time frame may not be reflected inside of TimeForge.

After creating several daily templates, or weekly templates, you can begin making a schedule using the templates.

Templates allow you to rapidly build a schedule, if you will simply spend some time in advance thinking about your labor needs.

Use Schedule Templates to quickly and easily manage your workforce, and reduce the amount of time that you must spend changing the schedule on a weekly basis.

Add a Labor Schedule

Navigate to the Schedule tab, then the Schedule sub-tab, and create a new schedule. Choose an applicable start and end date, name your schedule, and if necessary, choose other options such as the department or sales type.

Choose Weekly Templates and Daily Templates

If you have templates set up at your location or store, you will see a screen prompting for you to use templates to quickly build your schedule. Choose an appropriate Weekly Template, or alternatively, identify specific templates for each day of your schedule.

When you are ready to build the schedule, choose “Assign Employees”.

Review the Created Schedule

TimeForge will then create your schedule, based on the templates you have chosen. TimeForge will assign employees where they are available, create Open and Bid shifts, and may attempt to run the AutoScheduler if any AutoSchedule shifts are available.

If staff members are unavailable to work, but have been indicated to work in the template, TimeForge will normally run the AutoScheduler to find you a better fit for the schedule. The software will then notify you of any changes it needed to make, based on staff availability or staffing shortages.

Create a Template based on the Work Schedule - Daily View

Additionally, while editing the schedule, you can create a template, or use an existing template, for a single day. This gives you greater flexibility while managing your work force.

In the TimeForge Daily View, click on the Use Templates link to add shifts from a template to the day, or click on the Make Templates link to create a template based on the shifts you have already created.

In the TimeForge Schedule Detail, click on the header for the day, and you will also be able to Use a Template, or Make a Template.
