How Do I Run Attendance Reports?

TimeForge is an extensive and powerful time and attendance management package, and you can begin to see some of the power by clicking on the Attendance tab. Many, but not all, of the time and attendance capabilities occur within the Attendance tab.

With TimeForge, you can add or edit attendance by date or employee, approve payroll for pay periods, export time punches to a third-party payroll company, and run numerous reports to review employee attendance.

Additionally, TimeForge has many labor management reports which display time cards, approved payroll, and many other labor metrics which are import to successfully manage a work force.

Navigate to the Attendance Tab

Navigate to the Attendance Reports page on the Attendance tab.

Choose a Report

TimeForge contains dozens of time card and attendance reports, including PTO, sick, and vacation reports, reports detailing employee time sheets, payroll summary reports, and actual vs. scheduled time reports.

How Do I Export Payroll?

TimeForge is an extensive and powerful time and attendance management package, and you can begin to see some of TimeForge’s power by clicking on the Attendance tab. Many, but not all, of the time and attendance capabilities occur within the Attendance tab.

With TimeForge, you can add or edit attendance by date or employee, approve payroll for pay periods, export time punches to a third-party payroll company, and run numerous reports to review employee attendance.

There are several ways to manage payroll inside of TimeForge, and many users simply run one of the many payroll reports at the end of their pay period. This works well for many TimeForge customers.

You can also manage the Approval process by approving time cards for a pay period, reviewing any sick, vacation, or PTO time, and then exporting payroll to one of our supported payroll providers. To use this feature, you must first have set up payroll periods for your location.

TimeForge payroll can be exported to many payroll providers, including QuickBooks, ADP, Paychex, SurePayroll, Heartland Payment Systems, CompuPay, and others.

Navigate to the Attendance Tab

Navigate to the Approve / Export Payroll page in the Attendance tab.

Choose a Payroll Period

Choose a payroll period to export. This will normally be the most recent payroll period that has ended.

Please note: To use TimeForge payroll approval, you must configure the payroll period for your location.

Review and Approve Attendance

If you have not yet processed the selected pay period, TimeForge will display a list of time card entries for the pay period.

You can review staff member time cards by date, time, employee, position, or cost.

Additionally, TimeForge will display outliers, or “Most Different” time entries, so that you can quickly and easily identify time punches that may be erroneous or problematic.

Focusing on time entries labeled “Very Different” will allow you to find missed punches, late and early clock ins, employees who forgot to clock out, and other strange data before you have approved the payroll. After the payroll is approved, you will not be able to edit the time punches inside of TimeForge. Instead, you’ll need to make the changes in your payroll program.

Note: You will not be able to approve payroll if employees are currently clocked in for the time period.

When you are ready to Approve payroll, click on the “Approve Attendance Export” at the bottom of the screen.

Choose Your Payroll Provider

Choose your payroll provider from the drop-down list of providers. Each provider has a different file format – choosing the correct provider is crucial.

Payroll Export Results

TimeForge will process the attendance entries for the payroll period you selected, and will return a payroll file to you – which will allow you to send the file to your payroll provider.

To ensure successful import into your payroll provider, you will be prompted to correct any problems with the export before a payroll period will be exported.

How Can I View Clocked-In Employees?

Additionally, TimeForge can monitor labor costs in real time. Instantly review staff members who are clocked in, view staff counts, and more.

Attendance Tab

Navigate to the View Clocked-In Employees page inside of the Attendance Tab.

Review Clocked-In Staff Members

TimeForge will display the staff members who are clocked in.

For each staff member, you can review their name, position, and when they clocked in. You can also see a computed cost for the staff member, if they were to be clocked out.

Clocking Out a User

In many cases, you will also see a Clock Out link, which will allow you to clock out the staff member. If this link is not displayed, you are most likely running TimeForge integrated with another system, such as a Point of Sale system. Some systems do not support clocking users out from the TimeForge website.

After clicking on the Clock Out link, you can modify the clock out time.

Review Position Summaries

TimeForge can display position summaries, including the number of staff members clocked in for each position.

To display this information, click on the Hide (or Show) Position Summary link.

How Do I Delete Time Card Entries (By Employee)?

And although most employees are great at remembering to clock in and out, every once in a while someone forgets, and you’ll need to modify their time card.

Navigate to the Time and Attendance Screen

Choose a Staff Member

Choose a staff member from the employee drop-down to review, add, or edit their time card.

If TimeForge Departments are enabled, you will only see the staff members in your departments.

If you have set up payroll periods in TimeForge, you can edit staff member time cards by payroll period.

Instead of using payroll periods, you can edit time cards by date range. Enter a date range into the calendar boxes to continue.

TimeForge will display all of the applicable time punches / time card entries during the time range or payroll period that you have selected.

Click on the Delete link next to the shift you would like to remove.

You can then edit the various fields, including the position, date, clock-in and clock-out times, the note, and make any tips or mileage adjustments.

And although most employees are great at remembering to clock in and out, occasionally someone forgets, and you’ll need to modify or add to their time card.

Choose Edit Attendance by Employee

Navigate to Edit Attendance by Employee, in the Attendance tab.

Select the Employee

Before you can edit an employee’s time card, you must first choose the employee.

If you have enabled TimeForge Departments, you will only see the employees that are in your department.

Select a Payroll Period

You can view time cards by payroll period by selecting a previous payroll period. Periods will include the current payroll period, as well as previous periods.

Enter a Date Range

If you want to look at attendance (or time cards) for a specific date range, or if you are not using TimeForge Payroll Periods, you can instead choose to enter your own time range.

To do this, select a start and end date for a date range, and then click on Go.

Review the Staff Time Card

TimeForge will display all of the time cards during the select time range (or payroll period).

Details displayed will include the position or job code worked, the date the shift started, clock in and out times, notes, tips, and mileage.

Add a New Time Card Entry

To add a new entry, first choose a position.

Finish the Time Card Entry

To finish the time card entry, enter the date, clock-in time, clock-out time, and notes as well as any tips, or mileage adjustments.

How Do I Delete A Time Card Entry?

Navigate to Time and Attendance

Choose the Correct Date

You can enter a date using the calendar, or go forward or backwards in time using the Next and Previous buttons.

Review time card entries

Review the time card entries that are shown in the shift list, and click on the Delete link for the one you would like to remove.

Confirm Deletion

Confirm that you want to remove the shift before TimeForge will delete it.

How Do I Edit Time Punches?

Navigate to the Edit Attendance page in the Attendance tab.

Locate the Correct Date

Locate the date for the shift you would like to modify. You can navigate by choosing the specific date, or by going forward or backwards by day or week.

Adjust the Shift

You can adjust the shift where necessary, including changing the employee, position, clock in or out times. You can also add a note, if you would like to.

TimeForge will automatically adjust the cost based on the time duration and any over time adjustments.

If you have enabled departments, there may be shifts that you are unable to see (if they are in another department).

Enter Tips and Mileage

In addition to shift tracking, TimeForge supports time and mileage reporting.

Choose a Date

From this screen, you can navigate to a specific date, moving forward or backward in time.

If you have enabled TimeForge Departments, you will only see staff members / employees who are part of your departments.

Pick an Employee

Choose an appropriate staff member from the drop-down. If you have enabled TimeForge Departments, you will only see staff members who are in your departments.

Enter a Position

Next, select the position or job that the staff member should be working during the shift.

Enter Start and End Times for the Shift

Finally, enter an applicable start time, and end time for the shift.

Enter Notes, Tips, or Mileage

TimeForge can also track notes for each shift, as well as tips or mileage driven.
