How do I schedule by employee?

When scheduling your staff, TimeForge allows you to schedule by position or by employee.

An example of scheduling by position might be: From 3:30pm – 8:30pm, I need a cook, and that cook happens to be Joe Smith.

An example of scheduling by employee might be: From 3:30pm – 8:30pm, I need Joe Smith, and Joe happens to be a cook.

Some businesses find that scheduling by employee is best for them, and other businesses prefer scheduling by position. Use the one that makes sense
for your business, or switch between the two with a single click.

Go to the Schedules tab

Navigate to the Schedules tab and click on Schedules.

Select a Schedule

Click on the title of the schedule you would like to view.

At the top of the Schedule’s page, click on the Employee bubble. You will now be able to see the schedule by employee.

How do I sort shifts on the Daily View?

Shifts are sortable by Start Time, End Time, Employee, or Position. You can sort shifts by whichever method you choose. For example, you might choose to sort shifts by End Time if you want to see who gets off work at the same time, or you might sort by Position if you want to see which employees are working the same position.

Select the schedule you would like to view by clicking on its title.

At the top of the schedules page, click on the Daily View link.

To sort shifts, click on the title link (Start Time, End Time, Employee, and Position) above the schedule. To change the order (ascending/descending), click the grey arrows next to the selected title.

How do I add HR information to an employee?

HR information might include pre-hiring information, onboarding paperwork, training documentation, certifications, or offboarding paperwork.

You can upload forms, specify which positions need specific HR documents, and customize your options. Below is information on adding HR information to an employee, after you have already customized HR settings. If you have not set up HR yet, go to the Human Resources link under the Employees tab.

Navigate to the Employees tab and click on Employees.

To add HR information, choose a staff member and click on the blue Edit button next to their information.

Edit the information for the HR type, click Upload to upload the appropriate form (if applicable), and click the Save button.

How do I upload HR information to an employee?

Human resources (HR) within TimeForge enables you to store and easily access all applicable paperwork regarding employees and their information. You can upload HR documents like I-9’s, W-4’s, training manuals, insurance verification, and other forms that are applicable to the labor management needs of your business. Below are instructions for uploading HR information to an employee’s account, which would be specific to a staff member.

Go to the Employees list

Navigate to the Employees tab and click on Employees.

Select a Staff Member

Click on the blue Edit link associated with the employee that you want to add HR information for. This will take you to the Employee Information page for that employee.

On that employee’s Employee Information page, click on the Human Resources tab.

If you have provided multiple HR Categories, click on the category you want to upload to.  Click on the blue Upload link.

Click Select to browse your files for the document you want to upload. After selecting the document, click Upload.

How do I import an employee over to a new location?

TimeForge offers the ability to set up multiple locations to manager your labor. Employees can work at one location exclusively or at multiple locations, according to your settings. You may want to import an employee over to a new location if that employee is being transferred, or needs to work at a new location.

Click on the Set Up tab, then select Locations. Make sure that the information for the location to which you are importing an employee is accurate.

Navigate to the Employees tab, then click on Employees.

On the Employees page, click on the blue Bring Over an Employee from Another Location tab. Type the name of the employee into the Employee Name field, then click Add to this location. You can also add all employees to a location.

How do I rehire/reactivate an Employee?

It’s a common recurrence in many retail and restaurant businesses … staff members leave for the season or for another job, and return at a later time to be re-hired. In this scenario, it is often useful to restore a terminated employee to minimize re-entering all of the staff members data.

This lesson will walk you through the steps necessary to reactive a terminated staff member.

Navigate to the Employee List

To begin reactivating a previously terminated employee, Navigate to the Employees tab. Click on the Employees sub-tab.

Click on the Show terminated employees box. If you want to look for staff who have worked a specific position, then choose the desired picture. Then click the Show button.

Locate the Staff Member

Find the terminated employee that you would like to rehire. Click on Edit.

Remove the Termination Date

Remove the termination date from the Basic Employee Information. Remember to click Save at the bottom of the page to reactivate the staff member.

How do I Post a Schedule?

TimeForge schedules are private, and kept hidden from staff members, until a manager or qualified supervisor, chooses to post the schedule.

Once posted, the schedule is visible to all staff members through the TimeForge employee portal, and TimeForge will begin sending text messages and email alerts to staff members who want to receive schedule notifications. Also, once a schedule is posted, to minimize staff confusion, the schedule cannot be “un-posted”.

Additionally, if you are using TimeForge Attendance, the posted schedules can be enforced to ensure that staff are not riding the clock, buddy punching, or sweet-hearting.

To post a schedule, you need to navigate to the Schedules tab. Then click on the Schedules sub-tab to see the list of schedules.

Build a Schedule, if Necessary

If needed, create a new schedule and choose the start and the end date of the schedule. Click the Add This Schedule button.

Alternatively, you can edit an existing schedule.

Post the Schedule

After editing the schedule, click on Post Schedule Changes.

How do I Terminate an Employee?

TimeForge makes common HR tasks, such as hiring and terminating staff or implementing annual raises, a simple one-click process.

This lesson will help you terminate staff as necessary at your business.

Get to the Employee List

Navigate to the Employees tab.

Locate the Employee to Terminate

Find the employee that you would like to terminate. Click on the red Terminate link.

Please note: After you have terminated the staff member, they will appear on the list until the next day, but the red Terminate link will be removed.

You can also terminate an employee clicking the Edit button.

If you terminate an employee this way, you can set the termination date, allowing you to terminate staff in the future. This TimeForge feature will allow you to easily manage seasonal help.

How do I Take or End a Break?

TimeForge Attendance is a powerful time tracking tool for businesses and staff members alike. Staff members can clock in and out using TimeForge, and can also track scheduled and unscheduled breaks such as those required by law in some states, lunch breaks, meal periods, and others. Taking breaks is easy with TimeForge!

If you are on a computer which allows employee clock ins with TimeForge Attendance, go to the Today Page and you will see a button to clock in.

Navigate to the Today Page to Take a Break

If you are scheduled or allowed to take a break, and you have already clocked in, you can go to the Today Page and you will see a Take a Break button.

Click on the Take a Break button to actually take your break.

Choose the Break Type (if Configured)

Depending on your employer’s TimeForge settings, you may be allowed to choose the type of break, and those options might include:
paid required
paid optional
unpaid required
unpaid optional

Click on the Break Type drop-down and choose the type of break you would like to take.

Please note: You may not be prompted to choose a break type, depending on how the breaks are configured at your location.

Click Take a Break or Cancel.

When you are ready to end your break, go to the Today Page and you will see an End Break button.

Click on the End Break button to finish your break.
