With TimeForge, you can create a daily or weekly work schedule template, which can drastically reduce the time you spend scheduling your staff. You can use schedule templates to help figure out your labor neeeds in advance of actually building the schedule, as long as a little time is spent up front.
Building a schedule template is just as easy as creating an employee schedule in TimeForge. So, you also have the benefit of building a template in different ways, depending on what works best for your company. You can build a schedule in the daily view, which has an easy to use bar chart that helps determine staffing levels, as well as a weekly view that works like an Excel sheet, and it allows you to build an entire schedule at a time.
You can also assign a shift to the AutoScheduler. Assigning a template to the AutoScheduler will reserve positions at a specific time, but will not assign any employees to that shift until you build the schedule and run the AutoScheduler.
Setting up templates with the AutoScheduler is easy and will save you time.
Add or edit an employee schedule template.
You can add a new schedule template by clicking on “Add a New Schedule Template.”
Note: You can also edit an existing template by clicking on the name of the template.
Fill out the schedule template information.
1. Enter a description of the template. This should be something that will remind you of what the schedule is, for example (Super Bowl Sunday).
2. If you are using “Departments” in TimeForge, you will have the option to select which department this staff member template will be applied.
3. Choose what day of the week your schedule template will start.
4. Select the number of days this template will span.
Click “Save” when you’re finished.
Add shifts to the employee schedule template.
Editing a schedule template for a work period is similar to building a work schedule in the Daily View.
Simply select a start time and end time for the shift, an applicable position, and then choose an employee. Just like in the scheduling Daily View, you can build the template by position or employee, based on the needs of your business.
The red arrow is pointing to the “Copy this shift” icon, which you can use to quickly add multiple shifts that span the same time and position.
Assign shifts to the AutoSchedule.
Also, just like the TimeForge schedules, you can assign a shift to the TimeForge AutoScheduler. When building the actual schedule using this template, the AutoScheduler will find the best fit for your schedule, and will replace the “AutoSchedule” employee with the best fitting staff member for that time period.
There are several options that can be chosen for each shift by selecting the shift properties icon, the small pencil, next to the shift. Options include whether the staff member is an Extra or is On Call, the Skill Level necessary to work the shift, and if the shift requires more than one employee to come in, then you can change how many staff members are needed to work.
