Add, edit, or delete positions

TimeForge is a complete labor management tool that helps with difficult tasks such as scheduling, attendance tracking, and watching labor costs. In order tobuild an employee schedule you will need to enter in employees’ job positions. Don’t worry though, adding, editing, and removing positions (also known as job codes in some industries) from within TimeForge is simple.

Note: Job positions for staff members are automatically synchronized with the information from the Point of Sale systems that TimeForge integrates with.

Adding a new position

  • Log in
  • Go to the Corporate level
  • Hover over the “Set up” tab
  • Click on “Positions”

Go to the "Positions" page.

Click the “Add A New Position” button.

Editing a position

Edit or add a new job position.

To edit a position click on the black bar on the top of any position in the locations positions page.

Note: In a Single Location buisness the “Add A New Position” button will be present on the same page as the edit button.

Fill-out the job position information.

Fill in the appropriate fields. Each position must have a unique description, ie, no two positions can have the same description.

The Tabs at the Top of the “Position” page:

The Default page. Here is where you will input the following information:

   - The “Color” option allows you to choose which color this position will appear on the schedule.

   - Other fields include the base pay rate and pay scale, which can include hourly or salaried, bi-weekly pay periods, and even one-time payments such as a live band or other entertainment. Choose an appropriate overtime calculation if desired.

   - If you are exporting payroll to a payroll system, you may need to include a Payroll identifier for the payroll company. Include this in the “Payroll ID” section as well.

Click “Save” when you’re finished.

Applicant tracking options.

This option is available with the TimeForge Human Resources package, and can be used to keep track of applicants’ information, such as Interviews, I-9 paperwork, and drug test reports. You can also create a questionnaire within TimeForge if a Resume and Cover Letter just aren’t enough.

Click “Save” when you’re finished.

This option is available if you are using departments in TimeForge. You can assign the same position to multiple departments within a company.

Click “Save” when you’re finished.

Position sections and stations

Position sections and stations

Each position can have a number of sections or stations associated with it.  This will allow you to schedule very specifically, if necessary.

A few examples of where this might be helpful:

- A Server position might have stations or sections for each grouping of tables, such as Section 1, Section 2, Section 3, etc..

- A LifeGuard position might have stations or sections for each lifeguard tower or chair, such as Dive Chair, Kiddie Pool, Lap Pool, etc…

- A Cook position might have stations or sections for each cooking position, such as Prep, Pizza, Grill, etc..

In some states and municipalities, staff members are paid different rates based on the time they arrive.  TimeForge supports this by allowing you to enter different rates during different time periods throughout the day.

For example, if a Server shows up before your restaurant opens, the pay rate may be lower than when the restaurant is operating.

Job position threshold

This option is available with TimeForge Sales. Here, you can assign a maximum labor cost to assign to a specific job position.

First, select an appropriate “Sales Category” to assign to the position. (You can also choose to select a default “Sales Category” for that job position.

Then, you can enter the threshold information. Choose a start and end date, a desired ratio (compared to your chosen sales category) and a Min and Max value.

Don’t forget to click “Save” when you’re finished.

Deleting a Position.

To remove a position, simply click on the “Delete” link. TimeForge will prompt for verification before removing the position.

Note: TimeForge will not allow you to remove a position if an upcoming schedule or template uses the position, or if an employee is currently clocked in with the position.

Note: To edit or delete a position at the corporate level you have to assign it to a department.
