Creating and Editing Employees

TimeForge is a complete labor management tool that helps with difficult tasks such as scheduling, attendance tracking, and watching labor costs. In order to build an employee schedule, you will need to create “Employees” that can be scheduled. Don’t worry though, adding, editing, and removing staff members from within TimeForge is very easy to do. Employee accounts need to be created for any staff member who will be scheduling employees, or who will be placed on the schedule themselves. Additionally, any staff member who will be running reports, clocking in, or receiving messages needs to have an employee account.

Note: Employees are automatically synchronized from some Point of Sale systems that TimeForge integrates with.

Get to the “Employees” page.

  • Log in
  • Hover over the “Employees” tab
  • Click on “Employees”

From the Employee List, you can choose to add a new employee, edit, or delete an employee, or import employees from other locations (if more than one location is configured).

Enter the “Basic Employee Information.”

Each employee has a number of settings that can be configured or changed by managers and supervisors inside of TimeForge.  These settings control the hours and shifts that an employee can work, the staff members availability, and what positions the employee can perform.

Additionally, employees can be assigned to multiple locations if more than one location is configured.

Employee Departments: Here, you can assign an employee to one or several different departments. (This option is only available if you are using TimeForge departments.

Employee Positions: Here you can select which position(s) that an employee will work.

Employee Login Information: Here is where you will designate how an employee will log in. You can either assign an internal username and password, or you can them sign in with an email address.

Employee Type: This is where you will designate if the employee is a Manager, Supervisor, or Employee.

Click “Save” when you’re finished.

Here, you can keep track of more personal information for each employee, like their social security number, payroll ID, and even their nickname. You can also create and save notes about each employee.

This feature is available if you have multiple locations with TimeForge. Select which locations the employee is able to work.

If you have TimeForge Human Resources, you are empowered with tons of extra features. For instance, you can enter pre-hire information for employees, keep track of certifications (even enforce a certification for a shift), and onboarding information like I9s.

From this page, you can review, accept, and edit employee availability requests.

From the “Schedules” page, you can select and view an employee schedule for a specific time range.

From the “Attendance” page, you can select and track employee attendance for a specific time range.

While adding employee information, you can also add any leave types that you created to the employee from the “Leave Types” page.
