How do I Set Up Break Rules?

The TimeForge Breaks module inside of TimeForge Scheduling is a powerful and flexible management system for scheduling breaks and meal periods for staff members. TimeForge Breaks are controlled using the Break Rules, and these Break Rules become scheduled breaks on the schedule that can be controlled and monitored using TimeForge Attendance, or with a worksheet and signatures by staff members.

TimeForge Break Rules are designed to allow management staff to specify the language and requirements of paid, unpaid, optional, and required breaks, similar to how they might be specified by federal, state, or local authorities

For example, in some states, it may be required to provide a 15-minute optional and unpaid break to staff members who work at least 6 hours.

Navigate to the Break Rules

Navigate_to_the_Break_Rules.png

Go to the Employees tab, and the Breaks sub-tab.

Review the Break Rules

Review_the_Break_Rules.png

Review the Break Rules, which specify the number of breaks, duration of break, recurrence, whether or not the break is required (or optional), whether the break is paid (or unpaid), a description for the break, the position the break applies to, and how long the employee must be at work for the break to apply.

Configure Break Rules

Configure_Break_Rules.png

To add a break rule, click on the Add a New Break Rule button [7]. Some information about this screen:

1 – Breaks applying to any position are listed under the “Any Position” section. Breaks for specific positions are listed under their respective position names. This flexibility allows management breaks, or FOH and BOH to have different break set ups.

2 – Select the number of breaks, and the duration of the break(s). For example, in the picture, we are describing “2 breaks”, and each break lasts “5 minutes”.

3 – Choose the duration for repetition of the break(s). For example, in the picture, we are describing breaks that occur once every 6 hours. If the breaks should be awarded every 2 hours, but the shift is 4 hours long, the staff member may be awarded 2 sets of breaks.

4 – Decide whether the breaks are paid, unpaid, required, or optional, and add a description for the break. For example, in the picture, we are describing a required, but unpaid break, with no description.

5 – Decide if the break applies to all positions, or only one type of position, and also decide which specific shifts will receive the break. For example, in the picture we are awarding breaks to staff members who work Bartender shifts that are at least 6 hours long, but no longer than 8 hours.

TimeForge will tie all of the Break Rules together and will apply / award the breaks to staff members working applicable shifts. Based on the picture for this step, TimeForge will provide (2) 5-minute breaks to bartenders who work at least 6 hours, but less than 8 hours. These breaks will both be required, but are unpaid.

When you’re done working with the breaks, make sure to click on the Save Break Rules button [6].

Test the Break Rules

Test_the_Break_Rules.png

TimeForge provides management staff with the ability to test the break rules, to ensure that the break rules are configured exactly as you need them for your business.

To test the break rules, choose an applicable position, and then simulate the duration of a work shift, and click on Test Break Rules.

Can Staff Clock-In at Home or with a Cell Phone?

By default, staff members are able to clock-in from anywhere that has an Internet connection, and this includes work, home, or their mobile Internet on a cell phone. In some circumstances, this is the correct and desired set up. However, for many businesses in the retail and foodservice industries, it is not desirable to provide staff with these abilities.

To support these businesses, TimeForge includes the ability to restrict clock-in and clock-out functionality to specific IP addresses, or physical locations.

Navigate to the Attendance Options

media_1280009148433.png

Navigate to the Attendance Options in the Attendance tab.

Add IP Addresses

media_1280009116250.png

You can specify one or more IP addresses which employees must be at, for employees to clock in. To add an IP address for employees to clock in:
- You can type your IP address into the text box. If there is more than one allowed IP address, they should be separated by a space, comma, or on separate lines.
- Instead of typing in the IP address, you can click on the Add this computer to allowed IPs button, and TimeForge will add your current IP address to the list of allowed IP addresses.

Remember to click Save Company Settings.

Force Staff to Use Scheduled Breaks

Force_Staff_to_Use_Scheduled_Breaks.png

If set to “No“, staff must take their breaks based on the scheduled break times and the posted schedule. If no breaks are scheduled, staff cannot take a break.

If set to “Yes“, staff are allowed to take a break at any time, regardless of the scheduled break times or types.

Require Breaks Based on Scheduled Order and Type

Require_Breaks_Based_on_Scheduled_Order_and_Type.png

If set to “No“, staff must take their breaks based on the order of their scheduled breaks and the posted schedule. For example, if an unpaid/required break is scheduled first, and then a paid/optional break, employees may take either break, in any order.

If set to “Yes“, staff are allowed to take a break at any time, regardless of the scheduled break times or types. For example, if an unpaid/required break is scheduled first, and then a paid/optional break, employees must first take the unpaid/required break, and then they can take the paid/optional break.

Automatically Take Breaks for Staff

Automatically_Take_Breaks_for_Staff.png

If set to “No“, employees must take their breaks manually (by going to TimeForge and starting their break).

If set to “Yes“, TimeForge will automatically take scheduled breaks for any staff member who forgets to take their scheduled break. For example, if an unpaid/required break is scheduled at 10:00am, but the employee forgets to take the break, TimeForge will automatically take the break for the staff member.

Automatically End Breaks

Automatically_End_Breaks.png

If set to “No“, employees must end their breaks manually (by going to TimeForge and ending their break).

If set to “Yes“, TimeForge will automatically end scheduled breaks for any staff member who forgets to end their scheduled break. For example, if an employee starts a 15 minute unpaid/required break at 10:00am, but forgets to end the break at 10:15am, TimeForge will automatically end the break for the staff member.

Allow Breaks Prior to Scheduled Time

Allow_Breaks_Prior_to_Scheduled_Time.png

If set to “No“, employees are allowed to take their scheduled breaks at any time, regardless of the scheduled start times for the breaks. For example, if a break is scheduled at 11:15am, the employee can click on “Take a Break” at 11:00am, and will be allowed to start the break at 11:00am.

If set to “Yes“, employees must take their breaks no earlier than the scheduled start time of the break. For example, if a break is scheduled at 11:15am, the employee can not click on “Take a Break” until 11:15am.

Require Break Duration Minimums

Require_Break_Duration_Minimums.png

If set to “No“, employees are allowed to take breaks that are of any duration, regardless of the scheduled break times. For example, if an employee ends a scheduled 30 minute break after 20 minutes, they will be allowed to do so.

If set to “Yes“, employees must take a break that is at least as long as the scheduled break time. For example, if an employee attempts to end a scheduled 20 minute break after 15 minutes, TimeForge will not allow them to do so. They must be on break at least 20 minutes, if this option is set.

Convert Unpaid Breaks to Paid Breaks

Convert_Unpaid_Breaks_to_Paid_Breaks.png

If set to “No“, breaks that are unpaid will never convert to any other type of break. For example, if an employee ends a scheduled 15 minute unpaid break, it will continue to remain as an unpaid break.

If set to “Yes“, any break that is unpaid, but ends prior to the scheduled duration, will be converted from an unpaid break to a paid break. For example, if an employee ends an unpaid 30 minute lunch break after 28 minutes, then the 28 minute unpaid lunch break will convert to a 28 minute paid break.

How Do I Add or Edit Daily Log Categories?

The TimeForge Daily Log is a superior digital log book, designed to work the way that your business works. It contains three different parts, each useful to your business:

1. The Manager Log is a management log book that can only be viewed by TimeForge Managers. This log is written and viewed by members of management.
2. The Staff Log is a log book that is written by management, but viewable by staff members.
3. The Audit Log is an internal log book that is created by TimeForge during the normal course of business.

Before you can add any log entries into the Manager or Staff logs, you must first create categories. Notes can only belong to a single category, but you can have as many notes or categories as you would like.

Some common categories for a Manager Log might include: Todo List Item, Employee Actions, Customer Concerns, Equipment Maintenance, Bank Deposits, etc…
Other common categories for a Staff Log could include: Uniform Reminders, Meetings, Upcoming Events, Documents (such as HR or staff documents), Menu Updates, etc…

What Is the Daily Log?

In many businesses, keeping track of the daily notes, task lists, todo items, and sticky notes can become cumbersome quickly. Scheduling upcoming maintenance events, human resource tasks, management meetings, and other necessary items across multiple shifts – where the manager that create the event may not be the manager responsible for the event – can quickly become a nightmare. Communication among staff and the management team is a requirement for every business, in any industry. And, as your business grows, keeping up with the pile of paperwork and small notes can quickly become a nightmare.

Some businesses tackle the tornado of paper and notes with supplies from the local office supply store – notebooks, lab notebooks, 3-ring binders, and other similar products. While these products are very inexpensive, the disadvantages are obvious:

- Paper products will tear with any mild abuse.
- Writing can be smudged or rendered unreadable with a single drink spill, or wet hands.
- Staff using ink pens can scratch out each others notes, making notes indecipherable.
- Handwriting from management and staff in a hurry can be unreadable weeks or months after the note is made.
- Light weight notebooks can easily be lost in a back office.
- Searching dozens of paper notebooks for historical notes is impossible.
- Organizing paper books into categories on a day-by-day basis is cumbersome at best.
- Multi-unit (multiple location) operators have no insight into the day-to-day operations of each location without faxing and scanning pages to each other.

In most cases, the paper log book is simply insufficient for modern businesses. Many niche businesses provide organized paper equivalents of the 3-ring binder or lab notebook, like Red Book Solutions. While these product are superior to paper notebooks from your local office supply store, almost of the disadvantages of the paper process remain. In addition, the log books are organized in a format that might not work for your business.

The TimeForge Daily Log, however, does not suffer from any of these disadvantages. The TimeForge Daily Log is a superior digital log book, designed to work the way that your business works. Some of the advantages of the TimeForge Daily Log include:

- You always know where it is. Simply log into your TimeForge account with a web browser, or mobile phone. Never lost, always accessible, and always on!
- Notes are never smudged, because they are entered into the computer. No need to remember acronyms, abbreviations, or interpret sloppy handwriting!
- Staff and management notes cannot be removed … they can be deleted (removed from searching), but they are always available. Never lose another note!
- Every note is tagged with the staff member who entered it, and the date and time that the entry was made. No more finger pointing over late or misplaced notes!
- Organize the way your business works, with your own categories. Use your own organization system to track any note or reminder you need!
- Built in searching capabilities allow you to quickly and easily search notes. Search instantly for notes by staff member, date, category, or across multiple locations!
- Keep notes organized across multiple stores, without the need to fax or scan pages from your notebook. Instant accessibility to one or more locations!
- Divide notes into what staff should see (the Staff Log) and what management needs to view (the Manager Log). Easily send broadcast notes to staff, and ensure that manager notes are only viewed by managers!

Use the TimeForge Daily Log to keep your business organized!
