Email Labor Schedules Immediately - New in TimeForge

TimeForge emails a rolling daily schedule to every employee in your account. However, emails containing the schedules are emailed to staff members on a daily basis, which may not be fast enough for your company if you want immediate notifications.

To alleviate this problem TimeForge now includes an “Email” link next to each schedule. Clicking on this link sends a message to your staff immediately.

Please note: Staff members must have an email address entered in TimeForge to receive an email message.

Of course, you can send any message to your staff at any time by clicking on the "Messages" section in the "Schedules" tab.

Posting of Schedule Changes - Improved in TimeForge

TimeForge will automatically notify your employees of any changes made to the schedule after it is posted ... you no longer need to repost the schedule for the changes to take effect! Scheduling is Simplified and Graphical! - Welcome to TimeForge v1.9.2

As previously mentioned, the team behind the TimeForge employee scheduling software has been working hard on version 1.9.2 of TimeForge - released today, Jan 1, 2008. Happy New Year!

So, what's new in TimeForge? A lot! Some of our recent improvements include:
  • Messages about your schedule are available on all of the schedule views (including the daily, weekly detail, and weekly summary views). You can see which “rules” have been broken by your management team while building the schedule, whether the shifts were created by the AutoScheduler or by management.
  • Day Parts are now displayed in the schedule (on the day view), and can be used to segment your day into different parts (for instance morning, afternoon, and evening shifts).
  • Day Parts are also visible when looking at employee availability. You can quickly see what shifts employees are available to work.
  • When editing an availability request, you can click on the day of the week to make an all-day request.
  • A new report: On the report page, there is a new 7-day schedule, called “Condensed 7-day schedule, sorted by position.” This new report is a variation of the Condensed 7-day schedule, where all of the employees are grouped by the position / department.
  • Templates have been updated to look like the Daily Schedule View, including graphing and different views of the day (sort by position or employee).
  • Additional numerous small improvements were made to the software ....

TimeForge Service Restored - Better Than Ever

Over the weekend, we began improving some of the internal systems on TimeForge.com to provide our users with an improved labor scheduling experience.

Demand for our simple scheduling system has increased over the past few months, and it was time to invest in more RAM, faster hard disks, and other improvements to ensure that TimeForge is available when you need it. The upgrade should have been a four - six hour outage, but instead spiraled into a twenty-one hour outage. We apologize for the inconvenience this caused, but really hope that you enjoy the new hardware!

All services have been restored to their normal operating conditions.

TimeForge Back Up .... But Getting Some Upgrades

Early this morning (late last night), one of the TimeForge servers began experiencing some issues which disabled access to the server. We are very sorry if this caused any inconvenience - we were able to have the system back up and running within a few hours.

However, we are taking a few hours this evening (Sunday night, and Monday morning) to improve some of the TimeForge architecture, in an effort to provide a faster and more reliable program to our many users.

TimeForge will be down for 2 - 6 hours to upgrade the systems.

Workforce Labor Scheduling Updates (Part 1)

We are pleased to announce TimeForge version 1.9 – the easy-to-use employee scheduling program for food-service (restaurant, bar, club), hospitality (hotel, motel), and retail companies.

This version provides significant enhancements to all TimeForge users, and includes several dozen new and improved features. Some of our time-saving improvements include:
  • Availability and requests both received drastic improvements for both managers and employees. You can now view weekly availability on a continual basis on a calendar. Availability is color-coded based on when employees “want to work”, are “available to work”, “do not want to work”, and are “unavailable to work”. Requests awaiting manager approval are also displayed for employees. This is what the improved requests look like:


  • In addition to the calendar view of requests, TimeForge users can quickly make new requests, or change availability by using “drag and drop” techniques. Each day of the week is split into hourly segments, and you can now click and drag to create schedules in a single click. Of course, our flexible scheduling system still allows users to build both simple and complex requests:

How Email Can Go Wrong ....

Yesterday, some of our users were sent a email describing how well TimeForge.com can assist with labor scheduling at multi-unit or multiple store concepts.

For instance, TimeForge users can manage an unlimited number of locations from their account, and each store can have different employees. Employees can work at more than one store and TimeForge automatically detects when employees are scheduled at other locations so that no staff members are double-scheduled. TimeForge has other multi-store labor scheduling capabilities as well – and we are always adding new features to the software.

However, the email program that sends out short reminders and email tips malfunctioned, sending many of our users multiple copies of the same email. We are truly sorry for "spamming" your mailbox, and can assure you that we have taken the necessary precautions to ensure that this doesn't happen again.

What's Coming Soon?

As you may be aware, we release improvements to the TimeForge employee scheduling software every few weeks, and our team is hard at work developing version 1.9 of TimeForge. The next version will be released around Thanksgiving.

What can you expect to be in our next version of TimeForge?
  • Improved Availability. You will be able to view availability as you do now, in a list format – but you will also have the ability of adding and viewing availability on a calendar. Two clicks to create a time-off request! Also, Day Parts will be more integrated with the rest of the TimeForge system – so you can schedule around the different parts of your day.
  • Faster. We are aware that TimeForge can slow down occasionally for those of you with a large number of employees. These issues will be resolved in our next release.
  • Improved Templates. Templates will continue to receive upgrades, and you will be able to add and edit shifts with the same ease that you edit schedules.

What's New in Employee Scheduling? (Part 2)

Our team is proud to announce the latest version of simple employee scheduling ... TimeForge version 1.8.6! This version includes a number of minor bug-fixes, as well as some major new features – all designed to save you time!

Some of the new features include:
  • Split Shifts. TimeForge's AutoScheduler will try to not assign employees to split shifts. Employees who close your business will not be scheduled to open the next morning, if at all possible. This makes employees and managers happy!
  • Reports. The main report which runs when you click on “Print” from the schedule page now prints only scheduled employees (not all employees). This makes the printout more concise, and easier to read! There's also a new report, which can be found on the Reports page, and is called “Costs by Position”. This report gives managers a quick, graphical summary of where labor dollars are being spent on the schedule.
  • Day Parts and Availability. You asked for it, and you got it! One of the most requested features from TimeForge users is to be able to use the request and availability editors with your own “time of day”. For example, your “Morning” shift may run from 6am – 11am, and your “Afternoon” shift may go from 11am – 4pm, and now you can setup requests and availability using “Morning” or “Afternoon” times.

    Login to TimeForge, and click on “Schedules”, and then choose “Day Parts”. Enter your shifts (such as open, morning, afternoon, evening, or close), and select a start time, end time, and a description. Day part periods cannot overlap. Once you have entered all of your time periods, you can save the Day Parts.

    Once Day Parts are in TimeForge, you can create and edit requests and availability using them. You, and your employees, will have the option of entering a time range, or you can pick a Day Part instead.
Look out for Version 1.9 and Version 2.0! Employee Scheduling will be faster and easier! Spend time doing what you want to do...

What's New in TimeForge? (Part 1)

Our team is proud to announce the latest version of simple employee scheduling ... TimeForge version 1.8.6! This version includes a number of minor bug-fixes, as well as some major new features – all designed to save you time!

  • Employee Messaging. Managers and supervisors can send messages to employees using TimeForge! To send a message, click on the “Schedules” tab, and then click on “Messages”. You can choose to send messages to everyone who works a certain position (e.g. all Cooks), select employees (e.g., Sarah and Joe), everyone who is scheduled to work (e.g. Everyone on next weeks schedule), or everyone who is not scheduled to work. Messages are sent via email to each employee, and employees can retrieve the messages at any time by logging into TimeForge.com You can also send schedules directly from the positions, employees, and schedules pages!
  • Security. If you were not already aware, TimeForge is now secure. When you connect to TimeForge, you will notice that your location bar / url turns to “https”, which means that your connection is secure! TimeForge is using 128-bit SSL technology, the same kind your bank uses!
  • Templates. Templates received a major upgrade on Monday night and can now be used on an existing schedule. You will see a link to “Use” and “Make” templates on the schedule page (if you have templates). Also, positions are grouped together when editing a template to make editing more simple.

Simple Employee Scheduling - Version 1.8.5 (Part 3)

What's New?

Graphic Improvements. Many of the charts in TimeForge.com received an upgrade over the weekend. They look better, display faster, and can now be printed! To print a chart, right click on the chart, and click “Print”.

Colors! You can now change the colors of the graphs inside of TimeForge to meet your needs, based on the position being scheduled. To do so, click on “Employees” and then click on “Positions”. Click “Edit” on the position you want to change, and then click on the color box to pick a color for the position.

Reliable Text Messaging Alerts. We guarantee that our text messages will be delivered to you and your staff. What's New?

Schedule without Wages. Just want a simple scheduling tool? TimeForge can now schedule employees without having any wage information entered into the software. All that is required are the names of your employees and the positions that they can work. That's it! Of course, TimeForge can do much more ...

Turn off the AutoScheduler. For many businesses, the AutoScheduler saves hours of management time by correctly placing the right employee into the right shift on the schedule. However a few of our users would like to do this process themselves, and want to turn the AutoScheduler off. To do so, login to TimeForge.com, and click on the “Settings” tab. Then, click on the “Settings for this Location”, and locate the “TimeForge configuration” section. One of the options is to enable or disable the AutoScheduler. Setting this option to “No” will disable the AutoScheduler.

Double Alerts. If an employee shift swap will result in a double shift (where an employee will work more than one shift that day) ... you'll be notified when you approve or deny the shift!

Free Schedule Entry Service – Get Started with Labor Scheduling Today

Our goal is to provide you with the best scheduling tool available, and we've built TimeForge.com so that it's usage requires very little training.

Unfortunately, for TimeForge.com to work properly, it must know about your positions / job codes, employees, and required shifts at your business – and entering this data can take a few minutes. The Free Schedule Entry service is a fast way to be up and running on TimeForge.com with almost no work required for you!

To ensure that you are able to use TimeForge.com as fast as possible, you can take advantage of our Free Schedule Entry service. Our team will need you to complete a small spreadsheet, which can be downloaded from our website (by clicking here). Once you are complete with the schedule (there are only about six columns!), send us the spreadsheet and two of your existing schedules. You can send the documents by email (support@timeforge.com) or fax (806.799.1024). That's it!

NAFEM / FS-TEC highlights 2008

We recently visited the NAFEM and FS-TEC trade shows at the George World Congress Center in Atlanta, GA - we were able to attend the show on the second and third days. What an amazing experience!

Two of the GWCC halls were packed with non-stop food-service innovations and people who wanted to get their hands on all of the new innovations! Everything from kitchen appliances and walk-in freezers to wireless temperature monitoring devices and energy saving kitchen dish washers.

Although there was a lot of software being showcased in the FS-TEC tradeshow, our experience was that the show was very slow for both attendees and exhibitors. On the second day of the show, there were only a handful of attendees walking through FS-TEC, and on day three we found it hard to find attendees other than ourselves. A number of employee / labor management and scheduling companies were exhibiting at the show, including:

As we wandered the much larger NAFEM show, we began to notice that much of the new technology was not at FS-TEC. It was at NAFEM. We found new products in many different booths that do all kinds of things, like:
  • Stoves that monitor their own energy usage
  • Dishwashers that reduce waste water when washing dishes
  • All-in-one food cooking centers that use less energy to cook food
  • Microwaves that can cook food in metal containers
  • Walk-in rotisseries that turn off when food is cooked thoroughly
  • Electronic controls to automatically turn equipment off and on
  • HACCP automation technologies
  • Wireless temperature monitoring systems for monitoring refrigerators, freezers, and holding areas
The coolest technology at the show? One of the most interesting pieces of technology being sold at the NAFEM show was the JeneSys product line from LynxSpring, a Kansas based company. The JeneSys is an Internet enabled facility monitoring and control management platform – a neat mini-computer that can monitor and control lighting, walk-ins, HVAC, security systems, and much more. The system is relatively affordable, and the graphical interface for monitoring the system is very intuitive.

The neatest booth at the show? The neatest booth had to be the Hobart booth, which was enormous. Hobart had several sample kitchens laid out in their booth, which was easily 250 feet long and 100 feet wide. I don't know how much the booth cost, but it wasn't less than $250,000. Impressive!

TimeForge Update – Version 1.7.1 Available Now!

On Wednesday, September 19, 2007 we released TimeForge version 1.7.1. This new version includes a number of new features and tweaks to the software, including:
  • Faster review of requests and availability
  • New Feature! You may now include or exclude employees from shifts when building the schedule.
  • Major Bug Fix: As previously reported, Internet Explorer 6 did not work with the schedule screen for some clients. This bug has been fixed, and now works in all recent versions of Internet Explorer and Firefox.
  • Numerous minor improvements, bug fixes, and “tweaks” were made to the software as well.

As previously mentioned, TimeForge.com recently received a network upgrade, including a much faster server to handle the growing needs of our clients. The changes occurred on Sunday night, and was completed in about 30 minutes. We apologize for any disruption this may have caused.

Support Blooper

Valued customers and trial users of TimeForge.com, the worlds best restaurant employee scheduling software .... we are very sorry for a recent blooper.

It appears that several emails that were sent to our support and info mailboxes over the last few weeks were mistakenly routed to the wrong location, and were not checked until today. There were about forty emails in the mailboxes, and we have already responded to everyone that had sent us questions, comments, or suggestions.

TimeForge.com Website Update

Today we are releasing the latest TimeForge.com website, version 2.0!

Last week, after some feedback from our users, we updated the look-and-feel of the TimeForge.com website to make the site even more Simple to use!

In addition to a new logo, the Free Trial is now easier to locate, and some new graphics have been developed to enhance your viewing experience. Additionally, the prominent "Login Here" will help your staff locate where to go to retrieve their schedules or request the day off.
